Job Description

The successful candidate for this role will primarily support a small but growing team of 30 specialist consultants and business development leads in contracting and managing customers through the sales and delivery cycle.

The role calls for a highly motivated, committed and experienced customer service and operations practitioner, ideally with experience of procurement and contract processes. We require an effective multi-tasker who thrives on being part of a dynamic working environment, and who is experienced enough to make decisions based on judgement calls and where necessary to propose and discuss improvements with colleagues and customers.

This role works closely with Business Support Co-ordinator, Services and Manufacturing, Carbon Trust legal and finance services teams.

The role would best suit a candidate with an interest in business development, office management, customer service delivery and commercial law, with a strong track record of delivering excellent customer service either in a face-to-face role or virtually.

Responsibilities & tasks

Completing the new customer and new project on-boarding process which is likely to include, but is not limited to:

Registering Carbon Trust Europe on customer supplier and procurement portals. Liaising with in-house legal team based in London regarding regulatory compliance

Managing and maintaining procurement forms, registrations and questionnaires (both within portals and as separate processes)

Managing the setup of new customers and projects on Carbon Trust systems

Co-ordinating day to day office related requests and supporting the Head of Europe, Sales to address any specific local needs of the team, which is likely to include, but is not limited to:

Supporting administrative needs of the office (overseeing supplier invoicing, procurement etc.)

Liaising with central teams in London on HR & finance related matters (i.e. Belastingsdienst related enquiries)

Co-ordinating any office events either for staff or clients

Being the main point of contact for WeWork and co-ordinating with them as well as supporting in the maintenance and growth of the office

Co-ordinating monthly reporting presentation materials, supporting quarterly and year-end financial forecasting tasks.

Managing requisition request as and when needed.

Ideal candidate

The successful candidate will be:

Comfortable approaching and speaking with colleagues and customers engaging both face-to-face, by email and in on-line meetings and taking responsibility for leading on the customer on-boarding process with larger, international corporates.

Engaging and credible at all levels within a client organisation.

Tenacious and resilient with a prerogative to complete tasks in a timely fashion.

A strong and personable team player who is also capable and comfortable as a self-starter.

Skills & qualifications

Exceptional stakeholder and internal customer relationship, interpersonal and influencing skills.

A solid capacity to understand and advance commercial practices through promoting behaviours and providing operational productivity in a professional services setting.

Ability to get a handle on and apply striking data over a wide range of clients and projects.

Self-sufficient and competent with co-ordinating as well as managing varied tasks and activities.

Ability to work within a small team and larger matrix management structure.

Operational familiarity with contracting, procurement, finance, knowledge management, CRM systems and concepts.

Demonstrable track record of administration management in a business-to-business setting.

Experience of working within a sales, customer service, finance or operations team.

Ability to manage multiple relationships with competing priorities.

Task orientated, organised and with an excellent attention to detail.

Fluent English & Dutch.
